Using OST crop tool to deal with oversized PST

While starting Microsoft Outlook or try to open a personal folders (.pst) file or an offline folders (.ost) file, you may receive the following error message:

Errors have been detected in the file <file_path>. Quit all mail-enabled applications, and then use the Inbox Repair Tool.

where <file_path> is the path to the .pst file.

Running the Inbox Repair Tool (Scanpst.exe) does not resolve the issue. This problem occurs as the PST and OST files have 2 GB size limitation and the error occurs when the limit is exceeded. Inbox Repair Tool cannot correct this problem.

Recovery Limitations of 2 GB Truncation Utility:

  • You must have 2 GB free hard disk space (to copy pst file)

  • The utility truncates the .pst file to under 2 GB. To have enough working space, the files should be reduced between 20-25 MB than the 2 GB limit. The truncated data is removed from the new copy; therefore some messages go missing from the recovered copy.

You can use this process to recover data, but it is not 100% successful. If in case this tool works, it will recover the entire data as the truncated data is still missing.

  1. Download the Exchange 2000 Tool: PST2GB from Microsoft Download Center link

  2. Extract the 2gb152.exe file to an empty folder and watch out for the following five files

    1. Msstdfmt.dll

    2. Msvbvm60.dll

    3. Pst2gb.exe

    4. Readme.rtf

    5. Readme.txt

  1. Start the PST2GB.exe program

  2. Click Browse to select the oversized PST file and click Open

  3. Click Create, select the name and location of the truncated data file that you want to create and click Save

  4. Type the amount of data that you wish to truncate in the PST file. Usually, using 20 -25 MB data for truncation is fine; however, you may require truncating more or less. If the process does not work, increase or decrease the amount till the process is successful.

  5. Run the Inbox Repair Tool or the Scanpst.exe file on a small PST file

  6. Access the repaired PST file with Outlook

  7. The step is optional but recommended. If the file opens, right-click the root folder of the PST, click Properties and click Compact Now to start the compression. For a file with similar size, the compression might take 4 to 8 hours.

  8. If in case the file is inaccessible with MS Outlook, discard the truncated PST file and repeat the process again with the original PST file. This time truncate more data than before and try the process again.

  9. Install the Office 2000 SR-1/SR-1a Update or hotfix as per the version of Outlook that you use. These updates prevent Outlook from allowing the PST file to exceed the 2 GB maximum size. To do so, follow one of the methods given below to manage the size of PST file:

  1. Utilize more than one PST file

  2. Use archive feature

  3. Save attachments to a file system folder and delete the same from messages.

This way you can easily deal with oversized PST file without spending extra money, effort or time on dealing with it.
